Kin Privacy Policy

Openness and transparency are important to us. The Privacy Act 2020 requires us, like any other New Zealand company, to let you know how we collect, store and use your personal information and why you can trust us to handle your information with care and respect.

Collection of personal information

Kin will collect and store personal information about you throughout the recruitment and application process. This information may include:

• Personal information that you provide voluntarily when registering and completing forms;
• Any information you provide when you meet with us for interview (including video or audio interviews);
• Information we gather as part of background checking including reference checks, ability and personality testing, and other tests or medical checks;
• Information obtained from referees you nominate;
• Information available publicly (for example, LinkedIn or other professional profiles); and
• Any other information (whether verbal or in writing) at any stage of your application process.

Where interviews or referee discussions are recorded for note-taking or transcription purposes using technology tools (including AI-assisted tools), we will inform participants at the time.

Use of personal information

Your personal information enables us to:

• Assess your suitability for roles you have applied for;
• Represent you accurately to our clients for employment opportunities;
• Conduct reference checking;
• Facilitate any testing or assessment that may be needed as part of the recruitment process;
• Communicate with you regarding employment opportunities you may be interested in; and
• Manage and improve our recruitment services.
  

Kin may use secure technology tools, including AI-assisted software, to support administrative and analytical functions such as note-taking, transcription, summarisation and application review. These tools operate under human oversight and do not replace human decision-making. Kin does not make recruitment decisions solely by automated means without meaningful human involvement.

Storage and Third-Party Providers

Your personal information is stored in our third-party secure database JobAdder and this is managed by Kin. You can read JobAdder's privacy statement here.

From time to time, we may use JobAdder’s integration with LinkedIn Recruiter to cross-reference your experience and information. You can read LinkedIn’s privacy statement here.

We may also use other secure third-party service providers (including technology and AI-assisted service providers) to support our recruitment processes. We take reasonable steps to ensure that such providers are subject to confidentiality and data protection obligations and use appropriate security safeguards.

Some of our service providers may be located outside New Zealand. Where personal information is disclosed overseas, we take steps to ensure it is protected by comparable safeguards in accordance with the Privacy Act 2020.

Disclosure of Personal Information

Your personal information remains private and confidential to Kin. We will only disclose your information:

• To clients where we intend to represent you for employment opportunities;
• To referees you nominate (for the purpose of verification);
• To third-party service providers who assist us in delivering our recruitment services (including technology and data processing providers); and/or
• When required or permitted by law.

Retention

We retain personal information for as long as it is reasonably required for recruitment purposes or to comply with legal obligations. You may request access to, or correction of, your personal information at any time.

Your Rights

Under the Privacy Act 2020, you have the right to request access to your personal information and to request correction of that information.

Acceptance
