About the role 
We are looking for a Business Support Manager to join the Guild on a 13 month fixed term to cover a period of parental leave.  This role has a broad operational remit; you'll run our finance function, manage our PSL trading arm, coordinate Board governance and manage our office.  Working closely with and reporting to the Chief Executive, you’ll see the full picture of how a small organisation operates, with the ownership and autonomy to spot what could work better and make it happen.  
  
Day to day, you will:  
  • Manage AP, AR, reconciliations, monthly P&L, budgets and forecasts, and manage the relationship with our external accountant 
  • Facilitate and coordinate our annual financial audit, working with our external auditor 
  • Run the operations of PSL, it’s customer and supplier relationships, and lead and support the PSL Administrator 
  • Coordinate Board meetings and papers, and provide administrative and operational support to the Chief Executive as required 
  • Oversee payroll, HR and Health & Safety, working alongside our external HR and payroll provider 
  • Provide first line IT support and liaise with our external IT provider to ensure effective, secure operational systems. 
  • Keep our office well provisioned, clean and tidy 
This role is full-time, however we’d also consider applications from candidates seeking 35 hours per week.  You’ll be based in our Dixon Street office, with flexibility to work from home 1-2 days a week. 
   
About you 
You're an operational all-rounder with good commercial nous and the ability to think strategically.  You roll up your sleeves and get things done.  You’re just as comfortable in the detail of a bank reconciliation as you are managing a customer relationship or supporting a senior leader. You bring genuine passion for exceptional customer service, sound judgement and a warm, positive approach to your work and relationships, plus a good sense of humour.   You also bring:  
  • Previous experience in a senior administration or operational management position 
  • A background in customer service and the ability to problem solve complex or sensitive situations 
  • Solid experience across annual and monthly finance cycles, including AP/AR, banking and budget management 
  • Strong Xero skills, with the ability to pull and interpret financial data 
  • A high level of proficiency with Microsoft packages especially Outlook, Word and Excel 
  • Demonstrated people management experience 
  • A highly organised approach with strong attention to detail 
  • Exceptional communication and interpersonal skills on all fronts, with the ability to influence stakeholders to achieve buy-in and compliance 
  • Experience working in or running your own small business, supporting a Board, or working in the health sector are all a bonus, but not essential.
