About the Role This role supports the Managing Director and wider team across commercial leasing and sales activity. It is operationally critical, detail-driven and trusted to keep things running smoothly, freeing up senior leadership to focus on clients and transactions. This is a hands-on role with real ownership and exposure to the commercial and legal mechanics behind property transactions. It is a part-time role 20 hours a week 9am-2pm Tuesday to Friday with some flexibility on the hours.
  
You’ll play a key role in ensuring documentation, compliance and client processes are managed accurately and professionally, supporting deals from initial engagement through to completion. You’ll be involved in:
  • Maintaining CRM, property files, listings and internal systems with accurate, audit-ready records
  • Preparing proposals, submissions, agency agreements, authorities and presentations
  • Managing transaction checklists, documentation, key dates and compliance deadlines
  • Liaising with clients, councils, solicitors and external suppliers
  • Supporting sales and leasing campaigns, drafting marketing copy from raw notes
  • Supporting AML processes, with scope to take on Compliance ownership and formal AML Officer responsibilities
  • Managing the MD’s diary, including scheduling meetings and coordinating logistics
  • Preparing agendas, taking minutes and following up on actions
  • Assisting with invoicing, commission documentation and financial administration via Xero
  
About You
You’re an experienced, self-motivated and well-organised professional who takes pride in doing things right. You understand the importance of accuracy, confidentiality and process in a commercial environment. This role will suit someone returning to work who brings maturity, sound judgement and a strong work ethic.
 
Your background may include experience as an Executive Assistant, Legal Secretary, Legal Executive, Compliance Administrator, or Office Manager within a law firm, real estate agency or professional services environment. You’ll bring:
  • Exceptional attention to detail and strong follow-through
  • Confidence working with structured documentation, contracts and formal client communications
  • Strong written communication and presentation skills
  • Confidence picking up the phone and dealing professionally with clients and advisers
  • An eye for layout, formatting and producing high-quality documentation
  • Proficiency in PowerPoint, Word, Excel and Canva
  • The ability to manage competing priorities and meet deadlines in a transactional environment
Experience within real estate, legal, compliance or professional services is preferred. An interest in commercial property, regulatory processes and transaction support will be highly regarded. There is support for professional development, including licensing and compliance training if desired.
