About us Adminis is a rapidly growing Wellington-based Fintech company on a mission to simplify financial services. We provide investment administration and custody services to clients, using our custom-built investment accounting and administration platform.
We have a growing pipeline of new clients that need to be onboarded to the Adminis platform. We are seeking an experienced professional to lead our client onboarding processes while also driving continuous business optimisation. This role combines hands-on project management of client transitions with strategic process improvement to ensure scalable, efficient operations as we grow.
What we do Adminis provides services for fund managers, wealth advisory firms and family offices. Our services include:
- Investment accounting and administration services
- Custodial services
- Wrap administration (for DIMS and non-DIMS wealth advisory firms)
- Registry services
- PIE fund compliance services
- Fund hosting
About the role As a Client Onboarding Specialist, your role will be focused on:
- Working with the Business Development and Operational teams to understand client requirements
- Reporting to the wider business on the upcoming onboarding pipeline, providing advance information that clearly enables teams to plan and scale resource as required.
- Creating and executing tailored onboarding plans for new clients.
- Work closely with the Client Onboarding Lead and internal teams to improve onboarding processes, support Adminis’ growth and scalability, and deliver a great client experience.
- Acting as project manager for the onboarding process including:
- Running and minuting onboarding meetings
- Creating and sharing effective reports for all stakeholders to keep track of onboarding progress
- Coordinating internally across teams to plan, prioritise and deliver onboarding activities alongside their operational BAU activities
- Facilitate and document onboarding discovery sessions with clients and operational teams to ensure clear and consistent view of scope, operational processes and client needs.
- Managing client expectations and requirements for existing functionality and services, and any new features or services identified
- Ensuring successful transition to business as usual
- Acting as an escalation point for onboarding issues
- Conducting post-implementation reviews for continuous improvement
About You This is a hybrid role that spans project management, business analysis, client relationships and continuous process improvement.
- Proven track record in client-facing project management and business analysis
- Strong understanding of financial services sector
- Experience in process improvement or optimization
- Demonstrated ability to forge strong relationships with stakeholders
- Excellent communication and influence skills
- Independent, self-directing and delivery focused individual
- Excellent organizational and administration skills
- Strong analytical and problem-solving capabilities
- Experience in scaling operational processes (preferred)
