About the role 
This is an opportunity to do meaningful work, supporting paramedics who serve our communities every day. Reporting to the Tumu Whakarae/Kairehita | Chief Executive/Registrar, you'll manage processing of registrations and recertifications for paramedics across the motu, and be the go-to person for our practitioner database (iMIS).  You'll also be the friendly first point of contact for our stakeholders, ensuring everyone who interacts with Te Kaunihera Manapou | Paramedic Council has a positive experience.  

This is a broad and varied role where you'll have the opportunity to take real ownership of your work, while also working collaboratively on projects with our small tight-knit team.  Working in a new responsible authority means you'll have genuine input into how we do things. Your ideas will be welcomed and valued as we continue to develop and grow. 

This is a full-time (37.5 hours per week) permanent role based in our Willeston Street office, with flexibility to attend to life’s challenges and needs when required.  The salary range is $65,000 to $75,000 per annum. 

What you’ll do: 
  • Own the database—become our iMIS champion, troubleshooting issues and leading system improvement projects 
  • Process registrations for paramedics, including specialist endorsements and scope changes 
  • Manage recertification—issue practising certificates and run continuing professional development (CPD) audits 
  • Draft and edit high-quality correspondence, reports, Board agendas and papers 
  • Problem-solve as the first point of contact for phone and email queries 
  • Support the team with research, reporting, and policy development 
  • Continuously improve our processes and systems to ensure they are efficient and effective 
  • Actively engage with our commitment to Te Tiriti o Waitangi, building your own cultural capability and applying equity and tikanga in daily work

About you 
You're someone who takes pride in doing things well and get satisfaction from seeing processes run smoothly. You're naturally curious, love learning new systems, and spot opportunities to make things better. You're equally comfortable following structured processes and adapting when priorities shift. You’re comfortable working independently and are always willing to pitch in and support the team when needed. 

You’ll also ideally bring: 
  • Experience in a professional environment, ideally in a regulated or similar setting 
  • Exceptional written, verbal, and interpersonal communication skills 
  • Strong administrative and IT skills including Microsoft Office and databases (iMIS experience is a bonus) 
  • Outstanding attention to detail and organisational skills, with ability to prioritise and manage your time through peaks and troughs in your workload 
  • Integrity and discretion when handling confidential information 
  • An understanding of Te Tiriti o Waitangi, tikanga and/or te reo Māori, or a willingness to grow cultural capability 
  • Experience in a registry administration setting and knowledge of the Health Practitioners Competence Assurance Act 2003 is an advantage, but is not essential.
